General Information

• Reservation Deadline: By August 24, 2025(Korea Standard Time). After this date, room availability will not be guaranteed.
• Hotels may be fully booked before the reservation deadline, so early booking is highly recommended.
• Room rates outside of the conference period and breakfast price after arrival will be applied differently and can be informed after checking out to the hotel.
• Check-in Time: After 15:00. Check-out Time: By 11:00 (may vary by hotel). Early check-in and late check-out may incur additional charges.
• The Korean standard currency is the Korean Won (KRW). The approximate exchange rate is KRW 1,250 per USD 1 as of February 2025 (subject to change)
• Group reservations (more than 1 room) must be requested to the Housing Bureau.

For Reservation at Westin Seoul Parnas and Grand InterContinental Seoul Parnas Hotel

• Rooms will be guaranteed using the given credit card. Room charges will be settled by the hotel upon check-out, and a receipt will be issued accordingly.
• Confirmation letter will be sent within a week after you make reservation.

For Reservations at the Other Hotels

• One-night room charge will be deducted from the provided credit card by the Housing Bureau within one week of reservation. The remaining balance will be charged around August 24, 2025.
• Confirmation letter will be sent once the deposit has been received.
• If you do not have a credit card, you must remit at least one night’s room charge to the Housing Bureau within one week.
  The remaining balance must be paid by August 23, 2025.

Payment Information

(Except Westin Seoul Parnas and Grand InterContinental Seoul Parnas Hotel)

• The room rate covers the cost of the room(s) only. All other hotel services, such as breakfast, mini bar, etc., should be settled directly with the hotel at checkout.
• To confirm your reservation, a one-night room rate will be charged to your credit card by the Housing Bureau within one week of making the reservation. The remaining balance will be charged to your credit card around August 24 2025.
• If you prefer to make payment by bank transfer, please remit the one-night room rate to the provided bank account within one week. The remaining balance must be transferred by 23 August 2025.
• Please email a copy of the remittance receipt to corl2025.hb@gmail.com after sending the deposit and balance.
• A receipt for your room will be issued by GTN Co., Ltd. upon your request.

Cancellation and Refund Policy for Individual Reservation

• Any cancellation or changes requests must be made via email to the Housing Bureau, and NOT directly to the hotel.
• Refunds will be processed in accordance with the following policy. Any applicable bank service charges will be deducted from the reimbursement.
• As room rates are charged in Korean Won (KRW), the refunded amount may differ from the original charge due to fluctuations in the exchange rate.
• All dates are based on Korean standard time (GMT+9).
