General Information

• Reservation Deadline: By 24 August 2025(Korea Standard Time). After that date, the hotel’s availability will not be guaranteed.
• Hotel assignments will be made on a first-come, first-served basis. It could be fully booked earlier than the reservation deadline and it is recommended to proceed in hurry.
• Room rates for outside of the congress period and breakfast price after arrival will be applied differently and can be informed after checking to the hotel.
• Check-in time: after 15:00, check-out time: by 11:00 for most hotels, but some hotels may differ from it. Since early check-in and late check-out depend on each hotel and an extra fee may be incurred for it.
• The Korean standard currency is the Korean Won (KRW), the exchange rate for reference is approx. KRW 1,250 for USD 1 as of Feb 2025, and it is subject to change.
• Group reservations (more than 1 room) should be requested to the Housing Bureau.

For Reservation at Westin Seoul Parnas and Grand InterContinental Seoul Parnas Hotel

• The room will be guaranteed by the given credit card information and room rates will be charged by the hotel when you check out and receipt will be issued accordingly.
• Confirmation letter will be sent within a week after you make reservation.

For Reservations at the Other Hotels

• One-night room rate will be charged to the given card by Housing Bureau within one week from the day you make your reservation. And the remaining balance will be charged around 24 August 2025.
• Confirmation letter will be sent when deposit is made.
• If you do not have any credit card, you should remit at least one night room rate to Housing Bureau within one week and the remaining balance should be paid by 23 August 2025.

Payment Information

(Except Westin Seoul Parnas and Grand InterContinental Seoul Parnas Hotel)

• The room rate covers the cost of the room(s) only. All other hotel service expenses, such as breakfast, mini bar, etc., can be paid to the hotel directly when you check out.
• In order to confirm your reservation, one-night room rate will be debited from your credit card by the Housing Bureau within a week after the reservation is requested, and the remaining balance will be charged to your credit card around 24 August 2025.
• If you want to make payment by bank transfer, please remit the amount of one-night room rate to the bank account within a week. The rest of the balance should be remitted by 23 August 2025.
• Please send a copy of the remittance receipt by email to corl2025.hb@gmail.com after you send deposit & balance.
• The receipt for your room will be issued by GTN Co., Ltd. upon your request.

Cancellation & Refund Policy for Individual Reservation

• Any cancellation or change requests must be made via e-mail to the Housing Bureau, NOT directly to the hotel.
• Refunds will be processed according to the following policy, and bank service charges will be deducted from the reimbursement.
• Since the room rates will be charged in Korean Won, the refunded amount may differ from the charged amount due to exchange rate.
• All dates are based on Korean standard time (GMT+9hours).
